Accounts Receivable (AR) is one of UNI e-Business Suite systems. It's used to

  • create customer invoices
  • answer invoice-related customer account questions
  • run Account Receivable reports, and
  • track collections activity

Invoices will be printed, posted and mailed by the Office of Business Operations daily (Monday - Friday).

 

Overview of the AR system:

 

Getting customers into the system: Customers must be set up in the Customer Master File before an invoice can be created and sent to them. If a customer or customer site is not in the system, add the customer using AR Customer Maintenance transaction found within the application menu.

 

Getting invoices into the system: Invoices are entered into the systems in one of two ways. They can be

  • entered manually into the AR system by departments
  • loaded via an interface file from the EMS to the AR system

 

"Complete" Invoices: Invoices that are marked "complete," regardless of the method used to enter them into the AR system, are printed and sent to customers by the Office of Business Operations daily (Monday-Friday). Sweeps of departments using EMS billing are retrieved Tuesday at 4:30 a.m. All complete invoice accounting (whether fed or entered manually) is pushed to the GL daily at 5:50 p.m.

 

Customer payments are sent to University of Northern Iowa, Office of Business Operations-Cashier's Office, 103 Gilchrist, Cedar Falls, IA 50614-0008. Departments receiving payments should send them directly to the OBO Cashier's Office. Payments for invoices billed using the AR system should never be deposited through Cash Management.

 

You can create "standard memo lines" to make it easier to prepare invoices for items you frequently bill. Standard memo lines let you define an item (for example, "Boxed Lunches") that you want to appear in the "invoice Description" field on the printed invoice. If you frequently bill for an item, you can select it from the list of "standard memo lines" so you don't have to enter it each time you create an invoice. Using standing memo lines will also default the account object code.

 

To access UNI e-Business Suite, login to My UNIverse. This will take you to your portal where the UNI e-Business Suite channel is located. Within the UNI e-Business Suite channel there is a link to Access UNI e-Business Suite Applications/Timecard/PAF.
