Facilities Services provides assistance for planning and moving complete offices or individual furniture pieces, files, computers, books and other office items.

Relocating an Office (View Upcoming Moves)

Relocating an office requires significant coordination. Appointing a move coordinator for the relocation is very helpful.  The steps below will guide departments through the move process.

  1. Complete a Move Form and route according to steps listed on form.
  2. When new furniture or a design layout is needed, complete a Service Request form.
  3. Provide Interdepartmental Requisition form with specifics for non-general funded accounts.
  4. Complete key request form.
  5. Submit mail delivery changes to the Mail Center or call 3-3230. Include: names, location moving from (i.e. GIL 111), location moving to (i.e. GIL 242) and mail code.
  6. Setup phone and data connections by contacting sharon.drachenberg@uni.edu.
  7. Entire department relocations contact Human Resources Services 273-2422 for department records changes.
  8. Individual relocations use "Updating My Personal Information" in My UNIverse to change office address.

  1. Call 273-4400 with specifics of the move to establish a work order.
  2. Provide Interdepartmental Requisition form with specifics for non-general funded accounts.

Preparing Items for Move

  • Vertical file cabinets can be moved with material inside (if stairs are involved, Transportation Services may require the cabinets be emptied)

  • Horizontal files must be emptied

  • All desk materials must be boxed

  • All book shelf items must be boxed

  • Computer equipment must be disconnected and prepared to move; all items boxed; keyboard and hard drive should be boxed with monitor or all items numbered if boxed separately

  • Tape boxes to prevent papers from falling out

  • Label boxes with new location building name and room number

  • Boxes and packing tape can be obtained from Campus Supply.

Items Transportation Services Does Not Move

  • Plants

  • Delicate personal items

  • Electronic equipment that is leased

Transportation Services does its best to exercise care in handling all items during the move process but accidents can and do happen. Transportation Services has no insurance to cover such damage and can accept no responsibility for damage to any furniture, electronic equipment or personal items during the move process. Transportation Services can assist in obtaining an estimate and in coordinating a move with an outside vendor where this is of particular concern.

Where do I get boxes?

  • Used boxes, if available, may be obtained by contacting Dennis Nieman @ 3-2869
  • New boxes are available through Campus Supply

Is there a cost to move my office?

  • Generally no; moves are coordinated for the most part on a first come, first serve basis and are initiated completing a Move Form
  • If the Facilities Services timeline does not work for a department, we can assist in hiring outside contractors to augment our staff efforts; departments will need to provide a university account number for the cost

What if Facilities Services breaks something during the move?

  • Facilities Services personnel exercise due care and diligence while moving all items but we are not insured and our S&S budget does not support replacing broken items
  • If items are of high dollar value, departments should weigh the replacement cost against the cost of hiring outside movers who are insured
  • If items are personal or deemed irreplaceable, individuals should box and move them themselves

Does Facilities Services move computers?

  • Yes, monitors, keyboards, hard drives should be individually labeled by staff member’s name and the new office number
  • It is encouraged that you contact your staff/divisional computer techs to move your computers

What do I need to box and how do I label the box?

  • All desk contents must be boxed; desks will be turned on end for transport
  • All book shelf contents must be boxed
  • Vertical 2-drawer and 4-drawer files can be moved with contents remaining inside; please lock for transport
  • Horizontal files generally must be emptied and boxed; a 2-drawer file less than 30” wide is the only exception
  • All credenza contents must be emptied and boxed; these will be tilted on end for transport
  • Pictures can be moved without boxing and packing blankets are available
  • Boxes should be labeled on the side with person’s name and new office number

If my furniture is going with me does it have to be labeled?

  • Yes, by room number at the new location if multiple moves are happening at once
  • No, if your office is the only relocation
