June Watkins called the meeting to order at 1:35 p.m. Roll call was taken.

Bob Hartman made a motion, seconded by Susie Baker, to approve the July 19, 2001 minutes as written.

Jan Flick, UNI Benefits Coordinator, was present to address any questions or concerns regarding the upcoming open enrollment for Merit health and dental insurance. Last year UNI did not receive information about ICN presentations in a timely manner. Therefore, some employees did not receive notice until two days prior to the presentations and were unable to attend. Some employees on campus do not have access to a computer. Information on work-related issues is not readily accessible to them, making communication by supervisors even more critical.

Last year Regina Smith set up meetings in various departments to answer questions pertaining to open enrollment. Feedback was good and showed that these informal presentations were very helpful. Bob Hartman asked that having similar meetings this year at various times and locations on campus be considered again. The committee agreed. Darla, Tammie, Dan, and Bob will meet to discuss possible meeting times for Department of Residence employees, and Jan will talk to Dean Shoars regarding same at the Physical Plant. It was suggested to hold at least one meeting at the Library, one or two at the Union, and one or two at the Schlindler Education Center. Second-shift food services and custodians could be combined. Jan will make sure meeting dates, locations, and times are listed in the open enrollment announcement. Open enrollment for Merit employees for health and dental coverage will be October 5 through November 5.

Linda Gruetzmacher, Payroll, handed out information and discussed the pros and cons of

bi-weekly versus semi-monthly payroll. It could be several years before this change could be implemented as it is important to have the Oracle system in place. The

information distributed summarized two high-level scenarios to represent a change from monthly to semi-monthly or bi-weekly payroll. Also summarized was Linda’s discussion

with staff in payroll offices at the University of Iowa, Iowa State University, and the State of Iowa.

After much discussion, it was decided the whole committee will decide how to proceed with this issue, but an Ad Hoc Committee will meet to put together a survey to be sent as to the type of payroll system the campus community would like to have. This topic, as well as the remainder of today’s agenda, has been tabled until the next meeting.

Susie Baker made a motion to adjourn the meeting, seconded by Nick Bambach. The meeting was adjourned at 3:00 p.m.
